10. Olive AI – Super MMA and connected Google services

Added October 9, 2026. This section supplements the policy above for our Olive AI gym administration workflows.

Olive AI – Super MMA helps us manage gym inquiries, free trials, memberships, welcome messages, unpaid-invoice notices, and permitted follow-up communications.

Olive's access to Google data

Olive is a business administration tool authorized by the gym's Google account owner. Gym customers do not need to connect their own Google accounts to use our gym services.

With the account owner's authorization, Olive accesses relevant messages in the connected business Gmail account, including message contents and sender or recipient information, to locate registration, invoice, and customer contact details such as phone numbers. It may send customer emails through the authorized account. Olive reads and updates designated Google Sheets containing trial leads, canceled memberships, customer statuses, follow-up dates and counts, consent and suppression records, and communication logs. Google Apps Script runs these workflows.

Extracted contact details and related business records can be stored in the gym's designated Google Sheets and workflow logs. The information is used for the gym administration and communication purposes described above. Relevant details may be passed to connected service providers when needed to perform those functions.

Service providers and disclosures

Our connected tools include Google for Gmail, Sheets, Drive, and Apps Script; Shopify for the website; POWR for forms; Stripe for payments and membership information; Twilio for text messages; and Zapier for connected workflows. AI-assisted tools may process relevant customer correspondence to help prepare or respond to communications. The information each provider receives depends on the particular feature being used. We may also disclose information when required by law or necessary to investigate abuse and protect safety and security.

Google-derived information is subject to the Google API Services User Data Policy, including its Limited Use requirements. Use and transfer of that information must remain limited to the authorized application features and other uses permitted by that policy. Google-derived information must not be sold, used for advertising targeting, or used to train generalized AI models. Human access to that information must be limited to account-owner-authorized assistance or other access permitted by Google's policy.

Storage, retention, and security

Records are held in the connected systems used to administer the gym and its communications. Retention depends on the purpose of the record, membership administration, accounting or other applicable obligations, resolving disputes, and honoring communication preferences. Copies and provider logs may remain subject to the provider's retention practices. No online service or method of storage can be guaranteed completely secure.

Your requests and Google authorization

Contact us to request access to, correction of, or deletion of your information, or to ask about our handling of it. We may need to verify your identity before processing a request. Some records may need to be retained for applicable obligations or to maintain an opt-out.

The connected Google account owner can revoke Olive's access through the Google Account third-party connections settings. Revocation stops future authorized access but does not automatically erase records previously stored in Sheets or other connected systems. Contact us separately to request deletion of those records.

We retain minimal opt-out records to prevent unwanted outreach. Changes to our use of Google data will be disclosed here, with any additional consent required by Google.
